Who we are

OJJI5 is job management software for businesses that do work for real estate agencies: bookings, dispatch, a phone app for field staff, invoicing and pay. It is made by WA Rental Services Pty Ltd in Perth, Western Australia (“we”, “us”).

This policy covers our website ojji5.com.au, the OJJI5 web app and the OJJI5 phone app for iPhone and Android. We handle personal information under the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

OJJI5 is used by businesses (“companies”) for their own work. When a company uses OJJI5, the information it enters about its clients, properties and staff belongs to that company, and we look after it on the company’s behalf.

What we collect

Your account. Your name, email address and phone number, the companies you belong to and your role. You sign in with a code sent to your email; we don’t keep passwords for OJJI5.

Work records. Jobs and their addresses, times, status, notes and history; client and property manager contact details; tenant contact details when a job needs them; and, for staff, availability, leave, pay rates and the jobs they’ve done.

Photos you choose to send. If you can’t get into a property, you can take or pick a photo to send the office. We only use the camera or your photos when you ask to.

Your location, only when you ask. The phone app can put your day in route order from where you are. It reads your location once, on the phone, to work out the order. Your location isn’t sent to us or stored, and the app doesn’t track you in the background.

Notifications. If you allow notifications, the phone app stores a push token so we can tell you about new and changed jobs.

Face ID and fingerprint. If you turn this on, your phone checks it. We never receive your face or fingerprint data.

Logins for other apps. Where a client uses another inspection app, the office can store the login staff need for a job. Passwords are encrypted, and staff can only see them on their own current jobs; each time one is shown, it is recorded.

Enquiries from our website. If you register your interest on ojji5.com.au, we receive your name, business name, email address, and the phone number and message you choose to add, by email. We use them only to reply to you, and don’t add you to a mailing list.

Technical records. Our hosting providers keep standard logs (such as IP address, device and browser type, and times) to run and secure the service. We don’t use advertising or tracking tools, and we don’t sell personal information.

How we use it

To run OJJI5: signing you in, showing and allocating jobs, telling staff about their jobs, working out travel, preparing invoices and pay, keeping a history of changes, and keeping the service secure. We email you only about your account and your work (for example, an invite or a sign-in code).

Each company’s information is kept separate, and people only see what their role in that company allows.

Where it is stored and who helps us

Our database and files are stored in Sydney, Australia. We use these service providers to run OJJI5, and they only receive what they need to do their part:

  • Supabase: database, sign-in and file storage (Sydney)
  • Vercel: hosting the web app and our website (servers in Sydney)
  • Trigger.dev: background tasks such as sending notifications
  • Expo, Apple and Google: delivering push notifications to phones
  • Google Maps: looking up addresses and travel distances
  • Resend: sending emails

Some of these providers are based overseas (mainly in the United States) and may handle information there. We choose providers that protect it to a standard similar to the Australian Privacy Principles.

We share information with the company you work for or with, and otherwise only when the law requires it.

How long we keep it

We keep work records for as long as the company uses OJJI5 and for as long as the law requires afterwards (for example, tax and pay records). When a company stops using OJJI5, we delete or return its information on request, except where the law requires us to keep it.

Deleting your account

To delete your OJJI5 login, ask the office of the company you work with, or email support@ojji5.com.au from the address you sign in with. We’ll remove your login and personal details within 30 days and confirm when it’s done.

Some records stay with the company after your login is removed, because the company needs them for its business and tax records: for example, your name on past jobs, invoices and pay. Push tokens are removed when you sign out of the phone app.

Seeing or correcting your information

To ask for a copy of the information we hold about you, or to correct it, contact the company you work with or email support@ojji5.com.au.

Security

Information is encrypted in transit and at rest. Access is limited by company and role, sign-in uses one-time codes, and stored passwords for other apps are encrypted. If a data breach is likely to cause serious harm, we will tell the people affected and the Office of the Australian Information Commissioner, as the law requires.

Children

OJJI5 is a work tool and isn’t meant for anyone under 16.

Questions and complaints

If we change this policy, we’ll update this page and the date at the top.
